Can I track multiple companies in inFlow On-Premise?

Please note: we will sunset inFlow On-Premise on July 31, 2024. After sunset we will stop selling or activating new licenses for inFlow On-Premise and stop providing support (including online KB articles).

In the meantime we will still provide technical support to customers with an active Support Plan.

Single-User Mode

Here’s how we recommend you go about it if you’re just using inFlow On-Premise on one computer. Use the Backup and Restore features to Save and Load multiple databases, each one corresponding to a separate company:

Setting up Company 1:

  1. Enter your information into the brand new database (company info, products, vendors, customers etc.) Once your setup is done…
  2. Go to Main Menu > General > Backup Data
  3. Save this Database with the name of the company in a safe location on your computer (take note of where).
  4. Click Main Menu > General > Reset All Data to create a new database.

Setting up Company 2:

  1. Enter your information for your second company into the brand new database (company info, products, vendors, customers etc.). Once your setup is done…
  2. Go to Main Menu > General > Backup Data
  3. Save this Database with the name of the company in a safe location on your computer (take note of where).

To return to your Company 1 information:

  1. Go to Main Menu > General > Restore Data
  2. Select the “Company1.ifi” file you created earler.

When you’re done you’ll want to remember to backup as you did above. Once again you want to pay special attention to where this database is saved and its name.

Essentially what this process does is make sure that InFlow is looking in the right place for the data it needs to use. For example, if Company 1 is attempting to sell a bicycle to your customer, it wouldn’t make sense to access Company 2’s records in order to do so. You will need to be sure that you are accessing the correct database each time you enter the program. Backing up your data is also important as you will likely be switching back and forth quite often.

CAUTION: the autobackups in inFlow are done once per day, when the program is running. In the event that you need to restore from an autobackup, you may find that you have some auto-backups for one company but not the other. Unfortunately, there’s no way around this. It’s a good idea to store the backups in an external drive or cloud service.

Multi-User Mode

If you’re using inFlow in multi-user mode and have multiple computers, the above approach isn’t ideal since backup & restore affects all users. A better solution in this case is to have separate computers housing the two different company database. Make a note of the computer name (through Main Menu > Options > Connection Settings) for each computer housing its own database, and then follow the instructions below:

To have your clients connect to the system:

  1. Go to the Main Menu > Options > Connection Settings
  2. It should say “You are currently connected to your own computer” or “You are currently connected to another computer”
  3. The computer name and ip address listed below that is the computer you’re currently connected to
  4. If you’d like to switch to another computer, click on “Connect to a different computer” and type in the computer name (or click it in the dropdown if it shows up).

inFlow should load with the connection to the appropriate database made.
