{"id":3288,"date":"2014-05-09T18:48:43","date_gmt":"2014-05-09T22:48:43","guid":{"rendered":"https:\/\/www.inflowinventory.com\/support\/article\/3288\/how-do-i-handle-inventory-in-multiple-locations\/"},"modified":"2018-12-04T17:39:00","modified_gmt":"2018-12-04T22:39:00","slug":"how-do-i-handle-inventory-in-multiple-locations","status":"publish","type":"post","link":"https:\/\/onpremise.inflowinventory.com\/support\/article\/37438990\/how-do-i-handle-inventory-in-multiple-locations\/","title":{"rendered":"How do I handle inventory in multiple locations in inFlow On-Premise?"},"content":{"rendered":"<p>inFlow On-Premise can help you track inventory in multiple locations!<\/p>\n<p>This article covers the following two sections:<\/p>\n<ul>\n<li><a href=\"https:\/\/inflowinventory.com\/support\/article\/37438990\/how-do-i-handle-inventory-in-multiple-locations\/#setup\">Creating, using, and removing multiple locations<\/a><\/li>\n<li><a href=\"https:\/\/inflowinventory.com\/support\/article\/37438990\/how-do-i-handle-inventory-in-multiple-locations\/#default\">Understanding different\u00a0&#8220;default locations&#8221; in inFlow<\/a><\/li>\n<\/ul>\n\n<h2><a name=\"setup\"><\/a>Creating, using, and removing multiple locations<\/h2>\n<p><strong>To set up a new location:<\/strong><\/p>\n<ol>\n<li>Open the <em>Settings<\/em>\u00a0window (either through the shortcut from homepage, or <em>Main Menu &gt; Options &gt; Settings<\/em>)<em><br \/>\n<\/em><\/li>\n<li>Scroll down until you see the <em>Manage Inventory Locations<\/em>\u00a0button.<\/li>\n<li>In this window, add your locations to the list (each on its own line) until you are satisfied.<\/li>\n<li>Click <em>Save &amp; Close<\/em>.<\/li>\n<\/ol>\n<p><strong>To transfer items between locations:<\/strong><\/p>\n<ol>\n<li>Go to <em>Main Menu &gt; Inventory &gt; Transfer Stock.<\/em><\/li>\n<li>Select the items you\u2019d like to transfer. If you need to transfer all items in a single location, use the <em>Add by Location<\/em>\u00a0button at the bottom to save time.<\/li>\n<li>Select the <em>To Location<\/em>\u00a0for each item.<br \/>\n<blockquote><p>TIP: If all the items you&#8217;ve selected are going to the same location, <strong>right-click<\/strong> on the first cell under <em>To Location<\/em>\u00a0and select <em>Fill Down<\/em> to copy that location to each of the rows below.<\/p><\/blockquote>\n<\/li>\n<li>Click <em>Send Transfer<\/em>.<\/li>\n<li>When the items have arrived at the location, click <em>Receive Transfer<\/em>.<\/li>\n<\/ol>\n<p style=\"background-color: initial\"><strong>To remove locations:<\/strong><\/p>\n<p>You can deactivate locations you no longer use. You&#8217;ll need to make sure to transfer stock out of that location before removing. Any locations with more than 0 stock in it will still show up even after they&#8217;ve been deactivated.<strong><br \/>\n<\/strong><\/p>\n<ol>\n<li>Make sure you&#8217;ve transferred all existing stock\u00a0<strong>out<\/strong> of that location first.<\/li>\n<li>Go to <em>Main Menu &gt; Options &gt; Settings.<\/em><\/li>\n<li>Click the <em>Manage Inventory Locations<\/em>\u00a0button.<\/li>\n<li>Select the Location you wish to remove and then press the &#8220;-&#8221; icon along the bottom of the table.<\/li>\n<li>Click <em>Save &amp; Close.<\/em><\/li>\n<\/ol>\n<p><strong>To reactivate locations:<\/strong><\/p>\n<ol>\n<li>Go to <em>Main Menu &gt; Options &gt; Settings.<\/em><\/li>\n<li>Click the <em>Manage Inventory Locations<\/em>\u00a0button.<\/li>\n<li>Check the <em>Show Inactive<\/em>\u00a0box in the bottom left corner of this window.<\/li>\n<li>Check the box in the <em>Active<\/em> column beside the location you want to reactivate.<\/li>\n<li>Click <em>Save &amp; Close<\/em>.<\/li>\n<\/ol>\n<p><strong>To use sublocations:<\/strong><\/p>\n<ol>\n<li>Go to <em>Main Menu &gt; Options &gt; Settings.<\/em><\/li>\n<li>Click the <em>Locations broken down by sublocations<\/em> button.<\/li>\n<li>Click <em>Manage inventory location<\/em> to get a new pop up window.<\/li>\n<li>Choose the location you want to add the sublocation and click <em>edit sublocation.<\/em><\/li>\n<li>Click <em>Save and Close.<\/em><\/li>\n<\/ol>\n<blockquote><p>Just to let you know, if you want to stop using sublocations in the future, you&#8217;ll need to transfer everything from those sublocations to your main locations <em>first<\/em>. If this step is missed the stock will stay in those sublocations but you will no longer be able to tell. This can cause trouble with future stock transfers.<\/p><\/blockquote>\n<h2><a name=\"default\"><\/a>Why are there different\u00a0&#8220;default locations&#8221; in inFlow?<\/h2>\n<p>There are several places for\u00a0default location, and this is designed to minimize manually selecting locations in inFlow when you move an item.<\/p>\n<h3><\/h3>\n<h3>System Default<\/h3>\n<p>inFlow&#8217;s system default location is a global setting, but it can be overridden by other settings. If you only have a system default setting, any time an item goes in or out of your inventory, it will use the system default.<\/p>\n<p><strong>To set the system default location:<\/strong><\/p>\n<ol>\n<li>Go to Main Menu &gt; Options &gt; Settings.<\/li>\n<li>Click <em>Manage Inventory Locations<\/em> and click the star beside the location you want to set as default.<\/li>\n<li>If you only have one location in the program, it is automatically set as your system default.<\/li>\n<\/ol>\n<h3><\/h3>\n<h3>Product default location<\/h3>\n<p>This setting is per-product, and it\u00a0<strong>overrides<\/strong>\u00a0the system default location. For example, if you&#8217;ve set &#8220;Main Warehouse&#8221; as the product default location for &#8220;Item ABC&#8221;, \u00a0then any inventory movement\u00a0for &#8220;Item ABC&#8221; will use the product default instead of the system.<\/p>\n<p><strong>To set a product default location:<\/strong><\/p>\n<ol>\n<li>Go to <em>Main Menu &gt; Inventory &gt; Product List<\/em>.<\/li>\n<li>Double-click on the item you want to set a default location for.<\/li>\n<li>Click the\u00a0<em>Extra Info<\/em> tab at the bottom.<\/li>\n<li>Set the\u00a0<em>Default Location<\/em> at the top.<\/li>\n<\/ol>\n<blockquote><p>Product default locations can be overridden by <a href=\"https:\/\/inflowinventory.com\/support\/article\/64213050\/how-do-i-set-the-location-inflow-deducts-items-from\/\" target=\"_blank\" rel=\"noopener noreferrer\">sales order locations<\/a>.<\/p><\/blockquote>\n<h3><\/h3>\n<h3><strong>User default location<\/strong><\/h3>\n<p>This option allows you to set up a default location for your users. \u00a0As an example, you may have users who work out of your retail store in Location A, and other users in another branch at Location B.<\/p>\n<p>Setting the default for each user allows the location to be automatically chosen on <strong>sales or purchase order they create<\/strong>. Editing existing entries will not affect the locations chosen in the past.<\/p>\n<p><strong>To set the user default location:<\/strong><\/p>\n<ol>\n<li>Check the bottom right of inFlow to make sure you are logged in to the correct user.<\/li>\n<li>Go to\u00a0<em>Main Menu &gt; Options &gt; Personal Settings.<\/em><\/li>\n<li>Set the\u00a0<em>Default Location<\/em> under\u00a0<em>Preferences.<\/em><\/li>\n<li>You can go to <em>Main Menu &gt; General &gt; Change User\u00a0<\/em>and repeat steps 1-3 for other users.<\/li>\n<\/ol>\n\n<h3><strong>Customer default location<\/strong><\/h3>\n<p>Each customer can have a default location,\u00a0this serves to select that location automatically on the sales order when you select that customer.<\/p>\n<p><strong>To set the customer default location:<\/strong><\/p>\n<ol>\n<li>Go to <em>Main Menu &gt; Sales &gt; Customer List<\/em>.<\/li>\n<li>Double-click on the customer you want to set a default location for.<\/li>\n<li>Click the\u00a0<em>Extra Info<\/em> tab at the bottom.<\/li>\n<li>Set the\u00a0<em>Default Location<\/em> at the top.<\/li>\n<\/ol>\n<blockquote><p><a href=\"https:\/\/inflowinventory.com\/support\/article\/64213050\/how-do-i-set-the-location-inflow-deducts-items-from\/\">Sales order locations<\/a>\u00a0always override product defaults and user defaults.<\/p><\/blockquote>\n","protected":false},"excerpt":{"rendered":"<p>inFlow On-Premise can help you track inventory in multiple locations!
